1. Information We Collect
We collect information required to operate the BidReady service, including:
- Account Details: Name, work email address, company name, and authentication credentials.
- Uploaded Bid Packages: Documents uploaded by users (ITTs, RFPs, specifications, addenda, drawings).
- Usage Information: Activity logs, review history, and workspace interaction data.
- Contact Messages: Inquiries submitted through our contact form or support email.
- Billing & Payment Data: Handled securely by Stripe. We do not store credit card numbers on our servers.
2. How We Use Information
We use your information strictly to:
- Generate source-cited Bid Overviews, requirement ledgers, missing-document alerts, and action plans.
- Manage your account login, Bid Review balance, and purchases.
- Deliver transactional notifications (e.g., account updates, welcome emails, password resets).
- Maintain service security, prevent fraud, and comply with applicable laws.
3. AI Processing & Training Policy
Prompts, uploaded documents, and generated responses processed via the paid Google Gemini API are NOT used to train public AI models or improve Google models under applicable Google Cloud / Gemini API paid service terms.
4. Document Retention & Deletion Lifecycle
BidReady applies clear, transparent data lifecycle policies:
- Temporary processing copies: Intermediate working files created on processing servers during document extraction are permanently deleted immediately upon completion of processing.
- Original PDF storage: Original uploaded tender PDFs and addenda are stored in authenticated Firebase Cloud Storage, accessible only by your authenticated account.
- Retention period: Workspaces and associated PDFs remain stored in your account until you delete them.
- Individual bid deletion vs account deletion: Deleting a bid workspace removes that specific bid's records, requirement ledger, and stored PDF files. Executing self-service account deletion under Settings → Account & Data permanently purges all workspaces, stored files, requirement ledgers, profile information, and unused reviews.
5. Security & Operational Logging
Limited operational logs (IP hashes, request timestamps, error codes, and document size metadata) are maintained for security monitoring, rate limiting, abuse prevention, and legal compliance obligations.
6. Citation Verification & Estimator Role
Citations are structurally validated link references to uploaded PDF files and page numbers. Citations do not guarantee verbatim OCR verification unless OCR text matching explicitly succeeded.
BidReady provides automated decision-support summaries and document requirement extraction based on uploaded files. BidReady is NOT an engineering, legal, or construction estimating advisory firm and does not provide binding professional advice. Estimators must independently review and verify all closing dates, bonding, insurance, addenda, and submission forms directly against source bid documents prior to bid submission.
